Donation Receipts

Donor gifts, EINs, and deductibility language

Donation receipts need to tell donors what was given, when it was given, whether goods or services were provided, and how much may be deductible. Issueable keeps that language on the receipt.

Common donation receipt patterns

Registered Charities & Nonprofits

501(c)(3) organizations and charities need receipts that confirm tax-deductible status and maintain IRS compliance.

Faith-Based Organizations

Churches, synagogues, temples, and religious nonprofits issue receipts for tithes, donations, and restricted gifts.

Educational Foundations

Schools and universities issue donation receipts for alumni giving, endowments, and capital campaigns.

What donation receipts need

IRS-Compliant Language

Include tax-exemption status, EIN, and deductibility statements donors need for their records.

Quid Pro Quo Disclosure

When goods or services are provided in return (gala tickets, merchandise), the receipt states the fair-market value and calculates the actual deductible amount.

Donor & Campaign Tracking

Organize donations by campaign, fund, or restricted gift designation. Build a donor history for major giving programs.

In-Kind Donation Description

Notes section for non-cash donations describes the donated property without assigning a value — that responsibility stays with the donor.

Donation Receipt FAQ

Why donation receipt detail matters

Donors need a receipt they can file without guessing what the gift was, when it happened, or whether anything of value was received in return. A clear receipt also saves staff from answering the same tax-documentation questions every January.

IRS regulations require specific language on donation receipts. If you're providing goods or services in return (event tickets, merchandise, dinner), the receipt must disclose the value of those goods and calculate the actual deductible amount. Missing this language can trigger audit issues for donors.

Donation receipts also make accounting easier. When you issue receipts consistently with donor names, amounts, dates, and fund designations, bookkeeping and annual giving statements become much simpler.

If your nonprofit also operates a store, thrift shop, or café, the sales-tax receipt template handles those transactions. For nonprofits that invoice grantees or vendors, see small business invoicing for the billing side.
